How Often Should You Replace Business Computers?

The realistic lifespan

Most business computers do their job well for three to five years. After that, they slow down, repairs get more frequent, and they stop receiving the updates that keep them secure. A machine that still turns on is not the same as a machine that is worth keeping.

Signs it is time

  • It is noticeably slow, and staff waste minutes every day waiting on it
  • It can no longer run the current version of the operating system
  • Repairs are adding up, or parts are getting hard to find
  • It is out of the manufacturer warranty and support window

The hidden cost of holding on

An old computer feels free because you already own it. But a machine that wastes fifteen minutes a day, or that fails in the middle of a busy week, costs far more than the price of replacing it on your own schedule. Security is the bigger risk: once a device stops getting updates, it becomes an open door.

A better approach

Rather than replacing everything at once, plan a rolling refresh: budget to replace a portion of your machines each year so you are never hit with a big surprise, and no device gets dangerously old.
