How Much Does Managed IT Cost for a Small Business?

The common pricing models

Most managed IT providers price one of three ways. None is automatically better; it depends on how your business is set up.

  • Per user: a flat monthly rate for each employee, covering all the devices that person uses. Predictable, and it scales with headcount.
  • Per device: a rate for each computer, server, or piece of network gear that is managed. Works well when device counts are stable.
  • Tiered or flat-rate: a fixed monthly fee for a defined bundle of services. Simple to budget, with clear boundaries on what is included.

What is usually included

A managed IT agreement typically bundles the ongoing work that keeps things running, rather than charging by the hour every time something breaks.

  • Around-the-clock monitoring and alerting
  • Patching and updates for operating systems and applications
  • Help-desk support for day-to-day issues
  • Backup management and tested recovery
  • Basic security: firewall, endpoint protection, and access controls

What moves the price up or down

Two businesses with the same headcount can pay different amounts. The big drivers are:

  • The number of servers and how much on-premise infrastructure you run
  • Compliance requirements like HIPAA, CMMC, or SOC 2, which add controls and documentation
  • How old your equipment is (older gear needs more attention)
  • Response-time expectations spelled out in the service-level agreement
  • Whether projects like migrations or upgrades are bundled in or billed separately

A reasonable way to budget

If you are just starting to plan, budgeting a predictable monthly amount per employee for fully managed coverage is a sensible starting point, then adjusting for servers and compliance. The goal is to trade surprise repair bills for a steady, predictable number.
